Sharjah Payroll Administration
Ahmed Mahfoudh Chartered Accountants & Auditors brings more than 13 years of UAE financial experience to payroll outsourcing in Sharjah. I treat payroll as a controlled monthly process, not simply a salary spreadsheet. Employee changes, approved leave, allowances, deductions, advances, and final settlements need to be recorded before the payment file is prepared. Payroll outputs are reconciled to the accounting records and reviewed before release. The employer remains responsible for meeting UAE employment and WPS obligations, while the service provides the calculations, records, and payment support needed to manage them properly.
How Monthly Payroll Is Controlled
The usual mistake is collecting employee changes after the payroll file has already been prepared.
Inputs are approved before calculation
Salary changes, new hires, leavers, leave, incentives, deductions, advances, and recoveries are collected against an agreed payroll cut-off. A payroll summary is then prepared for management approval before payment information is finalized.
WPS information is prepared carefully
WPS payment details are prepared from approved payroll data for use through the employer’s authorized bank, exchange house, or payment channel. UAE private-sector employers are required to pay wages monthly in the amount and on the dates agreed in the employment contract.
Exceptions stay visible in reporting
Unpaid leave, unusual deductions, employee advances, salary changes, final settlements, and payment exceptions are shown separately in the payroll review. This gives management a chance to question material changes before employees are paid.

Payroll Outsourcing Questions Answered
The key UAE payroll details to confirm before moving a monthly pay cycle to an outsourced provider.
What does payroll outsourcing include?
Payroll outsourcing can include salary calculations, payroll approval summaries, WPS file preparation, payslips, leave and deduction tracking, gratuity calculations, reconciliations, and management reports. The employer still approves payroll and remains responsible for employment obligations.
What is the WPS requirement?
UAE private-sector employers must pay wages monthly, in the amount and on the dates agreed in the employment contract, through the Wage Protection System where applicable. Wages are generally considered late if not paid within 15 days of the due date, unless the contract provides a shorter period.
Can you prepare WPS files?
Yes. Payroll information and WPS salary files can be prepared from approved employee data for submission through the employer’s authorized bank, exchange house, or payment provider. The employer must ensure the final payment instruction is released through its approved channel.
What information is needed monthly?
Monthly inputs normally include employee joiners and leavers, salary changes, approved leave, unpaid leave, allowances, bonuses, deductions, advances, recoveries, and bank-detail changes. A clear cut-off date helps prevent late adjustments after payroll approval.
How is gratuity calculated?
For eligible full-time foreign workers who complete one year of service, end-of-service gratuity is generally calculated on basic salary at 21 days’ wage for each of the first five years and 30 days’ wage for each additional year. The total gratuity is capped at two years’ wage.
Can you calculate final settlements?
Yes. Final settlement inputs can include unpaid salary, leave balance, gratuity, deductions, advances, and other approved amounts. The calculation must use the employee’s contract, service period, basic salary, leave records, and applicable UAE employment rules.
Can payroll track leave balances?
Yes. Payroll records can track approved leave, unpaid leave, and salary effects of absence. Under UAE labour law, a full-time employee is generally entitled to 30 days of annual leave for each year of extended service, subject to the applicable rules.
Does payroll outsourcing remove employer liability?
No. Outsourcing supports calculation, records, and payment preparation, but the employer remains responsible for accurate employment information, approvals, wage payment, WPS compliance, and compliance with applicable UAE labour requirements.
How is payroll outsourcing priced?
Fees depend on employee headcount, payroll frequency, number of entities, pay components, WPS requirements, leave tracking, final settlements, reporting needs, and condition of existing employee records. A stable 20-employee payroll has a different scope from a multi-entity workforce with frequent changes.
